Saving and Printing

 

Saving Your Presentation
 

Save your presentation often by selecting File - Save. Saving after each major step in the creation process is a VERY good idea incase the computer or your program crashes.

See example of File-Save.

The first time you choose File - Save, the dialog box for Save As will open to allow you to name the file.

If you want to rename the file, choose File - Save As.

When finished working for the day, copy your file to other disks or servers so you have backups in different places (home and work).

A PowerPoint presentation file will automatically place a .PPT extension onto your file when you save it. The .PPT extension tells you this is a PowerPoint presentation file.

Printing
 

You can print your presentation out in a variety of different formats.
1. Click on File - Print to open the Print dialog box.

2. Select the name of the printer you will be printing to.

3. Select the range of pages you want to print and the number of copies you need.

4. Under the dropdown box labeled Print What: select one of the following choices (see example):

  Slides - will print a separate page for each slide in your presentation
  Handouts - when you choose to print handouts, you can print either 2, 3, 4, 6, or 9 slides per page and arrange the order either horizontal or vertical. There is a small picture display of what the page will look like to the right of these choices in this dialog box. (PowerPoint 97 only prints up to 6 slides per page.)
  Notes Pages - will print the slide and its accompanying notes on one page
  Outline View - will print the presentation outline. Only text that is entered into the click to add boxes will appear in the outline view and will be all that will be printed here.

5. If you will be printing to a black and white printer, check the box in front of Pure black and white (see example). Your presentation will print faster and not use as much toner from your printer if you do this.

6. Click OK to print your presentation.

Print Lecture Notes Next to Slides

 

You must have also installed Microsoft Word to utilize this feature.

1. To print what is on notes pages along with your slides (see example), select FILE - SEND TO - MICROSOFT WORD.

2. Then select “Notes next to slide” in the Write-up dialog box.

3. Click OK button. MS Word will open and place slides with notes in format selected. See example of slides and notes in MS Word.

4. Now your slides and notes are placed inside a new document in MS Word. In MS Word, format the pages to how you want them to look by adjusting the margins and guides. Select FILE - PRINT - ALL and click OK. You will get 2 or 3 slides per page (depending upon how many lecture notes you have added for each slide) with the notes beside them on the right side.

This works really well to have in hand when you give a presentation. It takes fewer sheets of paper to have a picture of your slide as well as your lecture notes than printing each page of separately.
